Hatch Projects (“we”, “us”, “our”) is a residential architectural design practice based in Williamstown, Victoria. We respect your privacy and handle your personal information carefully, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This policy explains what we collect, why, and how you can access or correct it. It applies to hatchprojects.com.au, our social media pages and ads, and any contact you have with us by email, phone or in person.

1. Information we collect

We only collect what we need to respond to you and deliver your project. Depending on how you deal with us, this may include:

  • Contact details: your name, email address, phone number and postal address.
  • Property and project details: the property address, what you’d like to build or renovate, your budget range, timing, and any photos, plans or documents you send us.
  • Client records: contracts, fee proposals, invoices, correspondence, and information about your property needed for design, planning and building permits.
  • Website and ad data: how you use our website and respond to our ads, collected through cookies (see section 4).

We don’t ask for sensitive information such as health or financial account details. If you choose to tell us something sensitive (for example, accessibility needs for your home design), we’ll only use it for your project.

You can contact us without giving your name, but we usually need contact details to respond to an enquiry.

2. How we collect it

We collect personal information directly from you when you:

  • fill in our Contact or Feasibility Consultation form
  • sign up to download our Planning Guide or join our mailing list
  • email, phone or message us, including through Facebook or Instagram
  • meet with us or become a client.

We may also collect information from others involved in your project, such as your builder, engineer, surveyor, council or a building surveyor, or from public sources such as planning records and property reports.

Our website, Google and Meta also collect some information automatically when you visit our site or see our ads.

3. How we use your information

We use your personal information to:

  • respond to your enquiry and assess whether we’re the right fit for your project
  • prepare fee proposals, deliver design services and manage your project
  • lodge planning and building applications and coordinate with consultants and council
  • send you the Planning Guide and occasional emails about our work and insights, if you’ve signed up
  • invoice you and keep proper business records
  • understand how people use our website and improve our services and advertising.

We won’t sell your personal information or use it for anything unrelated without your consent, unless the law requires or permits it.

4. Cookies, analytics and advertising

Our website uses cookies and similar technologies. These are small files stored by your browser.

  • Google Analytics tells us how visitors find and use our site, such as pages viewed and time on site. It doesn’t tell us who you are.
  • Meta Pixel (Facebook and Instagram) helps us measure how our ads perform and show relevant ads to people who’ve visited our site. Meta may link this to your Facebook or Instagram account under its own privacy policy.
  • Website security and performance services may set cookies to protect the site and keep it fast.

You can block or delete cookies in your browser settings, though some parts of the site may not work as well. You can also:

5. Who we share it with

We only share your information where needed to run our business or deliver your project, including with:

  • consultants and contractors on your project, such as engineers, surveyors, building surveyors, energy raters and builders
  • local councils and authorities, when lodging applications
  • service providers who help us operate, such as our website host, cloud storage, email and mailing list provider (Mailchimp), Google, Meta, and our accounting and IT providers
  • our professional advisers, such as accountants, lawyers and insurers
  • anyone else where the law requires it.

Some of these providers, including our cloud storage provider, Mailchimp, Google and Meta, store data overseas, mainly in the United States. We use reputable providers and take reasonable steps to make sure they protect your information.

6. How we store and protect it

We store information electronically in secure, password-protected systems and cloud services, and keep any paper files in our studio. We limit access to people who need it.

We keep client project records for at least 7 years, as required for business, tax and building records. Enquiries that don’t go ahead are kept for up to 2 years, then deleted. When we no longer need information, we delete or de-identify it securely.

No system is completely secure. If a data breach is likely to cause you serious harm, we’ll notify you and act quickly to contain it.

7. Accessing, correcting and unsubscribing

You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below and we’ll respond within 30 days. There’s no charge for asking.
